Wholesale Terms & Conditions

These terms govern all wholesale and trade transactions between Plant Detectives, Inc. and approved account holders. By maintaining an active wholesale account with us, you agree to the following policies and responsibilities.

1. Account Eligibility

Wholesale accounts are available to qualifying businesses, including:

  • Landscape contractors

  • Landscape architects and designers

  • Municipalities and institutions

  • Garden centers and independent nurseries

  • Property managers

All applicants must submit a completed Trade Account Application and provide valid business credentials (e.g. resale certificate, EIN, or business license) as required by law.

2. Pricing

Wholesale pricing is extended to approved account holders only and is subject to change at any time without notice. Prices listed do not include freight, delivery, or sales tax (where applicable).

Custom quotes are provided for large plant lists, freight orders, and out-of-state deliveries.

3. Availability & Plant Holds

Inventory is sold on a first-come, first-served basis. While we do our best to honor plant holds and allocations, material is not guaranteed until paid in full or scheduled for delivery/pickup.

We reserve the right to release unclaimed material after 7 days unless prior arrangements are made.

4. Payment Terms

  • Standard terms: Payment is due in full prior to pickup or delivery unless otherwise stated.

  • Net terms may be extended to qualifying accounts upon approval. Invoices are due within the agreed-upon window (e.g., Net 15 or Net 30).

  • Past-due accounts may be subject to finance charges and suspension of wholesale privileges.

We accept credit card, ACH, and check payments. Returned checks will incur a $35 fee.

5. Delivery & Freight

We offer local delivery throughout NJ and the surrounding region, as well as nationwide freight coordination.

All freight deliveries require:

  • A receiving party on site

  • Proper equipment to unload material

  • Prompt inspection upon arrival

Delivery dates are weather-dependent and subject to change. Plant Detectives is not responsible for delays due to carrier issues, extreme weather, or inaccessible sites.

6. Claims & Returns

All sales are final. We do not accept returns on live plant material.

Claims for damaged or missing items must be made within 48 hours of delivery or pickup and must include photos and supporting details. Each claim will be reviewed individually, and credit or replacement may be issued at our discretion.

Plant health issues reported after planting or prolonged holding periods will not be considered for credit.

7. Cancellations

Once material has been tagged, pulled, or staged for pickup/delivery, cancellations may be subject to a restocking fee of up to 20%.

Custom-sourced or non-stock material may not be cancellable once ordered from the grower.

8. Communication & Conduct

We expect all trade account holders to communicate professionally with our team, honor agreed pickup/delivery schedules, and notify us promptly of any changes to orders.

Repeated no-shows, late payments, or abusive behavior may result in account suspension or termination.

9. Tax Exemption

Sales tax is applied unless a valid resale certificate or tax exemption form is on file. It is the buyer’s responsibility to keep this documentation current.

10. Policy Updates

Plant Detectives reserves the right to update these terms at any time. Wholesale account holders will be notified of material changes via email or on our website.

11. On-Site Nursery Policies

Material Tagging
Wholesale customers are not permitted to tag plant material without the presence of their assigned Sales Representative. Any items tagged without the rep’s awareness will be promptly untagged and returned to general inventory.

Client Visits to the Nursery
Contractors are welcome to bring their clients to the nursery. However, clients must be accompanied by their contractor in order to work with a Sales Representative. Sales Reps are not responsible for educating clients or managing retail-style walkthroughs. It is the contractor’s responsibility to guide the client through selections and communicate project needs. We reserve the right to decline service to any clients who arrive without their contractor present.
